Frequently asked questions about our labour hire software

Do I need to pay for all candidates on my database?

foundU only charges for active users. This means you only pay for employees that are entitled to be paid (weekly or monthly) and can store as many candidates on your database as you need without increasing your costs.

Can my labour hire clients view roster, time, and attendance information?

Yes, you can share this information with your client in multiple ways.  

  • Set your client up with admin user access and relevant permission restrictions so they can view this information directly within the foundU platform. There are no additional charges or limits to the number of admin users you create. The ‘user action log’ also allows you to see actions that have been performed in your platform and who had made those changes. 
  • Export this information via a CSV and send it directly to your client. 

Your clients can also approve relevant shifts if you grant them restricted admin permissions. This process records the user name and approval date, creating a reliable audit trail for invoice funding and reporting if needed.

Can I load timesheet data from my labour hire clients into foundU and use it to pay employees?

You can use this information to drive payroll for all of your clients or just a few of them.  

Import timesheet data from your client via CSV, create draft shifts in your base roster, publish it, bulk approve all shifts, and generate draft pay slips ready to be reviewed and processed. 

Can I invoice clients that have multiple locations?

Yes, you can invoice with varying degrees of granularity depending on your client’s needs. If your client has one purchase order per location, you can create one roster for each location and track all approved wages ready to be invoiced.  

If a client has multiple purchase orders per location, needing to account for sub-locations or divisions, you can also create an individual roster linked to the associated wage and invoice data for each.

Can I extract invoice data and sync it to my accounting system?

foundU offers pre-built export templates which are compatible with Xero, MYOB, and SAP. In addition, all invoice data can be exported in a CSV format, allowing you to share your data with other systems.

How do I fill shift vacancies quickly?

Firstly, you can use ‘tags’ to send shift offers to a certain group of employees first.  For example, you can create a ‘tag’ to group every candidate who lives in a certain area or employees with the highest attendance records. You can also set a time frame in which they need to accept or decline the shift before you offer it to other employees, ensuring that you meet the client’s needs.

Then, you can use our bulk shift feature to send shift offers to specific, matched, or available candidates. Once all vacancies are filled on a first come, first served basis, the system will automatically withdraw the shift offer so you don't overfill the order.
