    We recently spoke to Kirstie Martinez, the Projects and Implementation Manager / Marketing Manager at TLH Recruitment about why she chose foundU and how it has helped the agency scale its nationwide workforce.

    The challenge 

    Before implementing foundU in 2016, TLH Recruitment relied heavily on manual processes and disconnected systems to onboard, roster, and pay their candidates and invoice their clients. This included Excel spreadsheets, MYOB for payroll, manual timesheets, and TRIS for employee data management. 

    Employee onboarding was largely paper based, including the physical submission of tax file declarations and superannuation forms to the ATO. The fax machine was getting a workout and the payroll process was lengthy, taking up to five days with a small workforce. Their processes were administrative and time-consuming – and they also felt like the norm.

    The solution 

    TLH Recruitment chose foundU over other systems because it is an all-in-one workforce management platform with onboarding, rostering, and payroll in one-code base. Since all of these core operational tools are built in a single platform (as opposed to being integrated add-ons), it was the most cost-effective and user-friendly option. It also enables their clients to log into one easy-to-use platform to view rosters and time approvals – even when they are on-site.

    They have also benefited from continuous feature releases. For example, they can now simulate client profiles to solve issues, field pay queries from candidates to their employee profile for payroll to answer, and use the award test calculator to ensure the right pay rules are being used for candidates and client invoicing. 

    The clock app also speaks directly to the approved shifts feature and the ability to input an effective date for rate rises creates peace of mind. The new dashboard also gives them a snapshot of what’s happening in the business with colour codes that pinpoint priorities. New HR integrations, such as Flare employee benefits help TLH Recruitment create a great experience for their candidates and gain a competitive edge in the market.

    The result 

    foundU has supported TLH Recruitment’s growth from a single office into a nationwide presence, enabling transparent and open communication with candidates and clients across multiple states. Payroll times have reduced by days, even as the workforce has scaled, enabling the team to focus on innovation and the candidate experience.
